1. Contract

Your contract is with Ness Dream Safari (hereinafter referred to as “TO”, “we”, “us” or “the Company”). These Terms and Conditions apply to all quotations, correspondence, bookings and travel arrangements made with us.

Before making a booking, you should carefully read and understand these Terms and Conditions. If you have any questions or require clarification, please contact us before confirming your booking.

By accepting our quotation and confirming your booking, you confirm that you have had the opportunity to read and understand these Terms and Conditions and agree to be bound by them.

2. Booking Procedures And Confirming A Booking

Ness Dream Safari provides tailor-made holidays and travel experiences according to the needs and preferences of our clients.

A binding contract between you and Ness Dream Safari comes into existence when:

  1. We receive a deposit of 30% of the total quoted price, or

  2. We receive full payment where the booking is made less than 45 days before the scheduled departure date.

No booking is considered confirmed until the required payment has been received.

Full payment must normally be made 45 days before the departure date. If the balance is not received by this deadline, Ness Dream Safari reserves the right to cancel the booking and apply the applicable cancellation charges.

The lead booking person is responsible for making payment for all members of the booking party and for ensuring that everyone travelling under the booking is aware of and accepts these Terms and Conditions.

If you accept our quotation, a 30% deposit of the total trip price is required to confirm the booking. Delayed acceptance of a quotation may result in a change in the quoted price due to availability or changes in supplier costs.

Where the proposed departure date is within 45 days of the quotation date, full payment may be required at the time of booking.

All bank and transaction charges related to payments are the responsibility of the client or booking agent. The amount stated on our invoice must be received in full in our account. Where bank charges are deducted from the payment, the outstanding amount may be invoiced separately.

3. Medical Conditions And Disabilities

If you or any member of your travel party has a medical condition, disability, mobility limitation or other requirement that may affect the trip, you should inform Ness Dream Safari before confirming your booking.

You must provide relevant information in writing at the time of booking so that we can advise you about the suitability of the selected arrangements.

Where we reasonably determine that we cannot properly accommodate a particular requirement, we reserve the right to decline the booking or make reasonable alternative arrangements where possible.

4. Documentation

Please carefully check your confirmation invoice, tickets, itinerary and any other documents provided by Ness Dream Safari as soon as you receive them.

If you notice any incorrect information, please contact us immediately so that we can make corrections where possible.

We cannot accept responsibility for inaccuracies that are not reported within a reasonable period after the documents have been provided, particularly where correcting the information later results in additional costs.

You may be responsible for costs involved in correcting information that was supplied incorrectly by you.

5. Payment Terms

Tour packages are confirmed upon receipt of a 30% deposit of the total package cost.

The remaining balance is payable in full 45 days before arrival or departure, depending on the agreed travel arrangements.

For bookings made less than 45 days before the scheduled travel date, full payment is required at the time of booking.

Special arrangements, including flights, permits, accommodation or other services provided by third parties, may require earlier or full payment at the time of booking.

6. Cancellation By You

If you need to cancel your trip, the cancellation must be submitted to Ness Dream Safari in writing.

The following cancellation policy applies unless otherwise stated in your quotation or booking agreement:

  • Cancellation 120–61 days before the arrival date: a cancellation fee equivalent to 30% of the deposited amount will be deducted.

  • Cancellation 60–46 days before the arrival date: a cancellation fee equivalent to 50% of the deposited amount will be deducted.

  • Cancellation 45–30 days before the arrival date: a cancellation fee equivalent to 75% of the deposited amount will be deducted.

  • Cancellation 29–0 days before the arrival date: the full amount deposited will be forfeited, and no refund will be available.

Certain services, including domestic or international airline tickets, accommodation and permits, may have separate cancellation conditions imposed by the relevant supplier.

Ness Dream Safari cannot accept responsibility for additional costs arising from airline delays, cancellations, schedule changes or other decisions made by airlines.

Clients are encouraged to inform us immediately about any changes affecting their travel schedule so that we can assist with necessary arrangements.

If your reason for cancellation is covered by your travel insurance, you may be able to recover eligible cancellation costs from your insurance provider.

7. Pricing And Itineraries

Our prices are based on the known costs of services at the time the quotation or itinerary is prepared.

Before full payment is received, Ness Dream Safari reserves the right to adjust the price where there are significant increases in costs beyond our control.

Factors that may affect the price include:

  • Changes in fuel and transportation costs

  • Changes in airline fares and airline surcharges

  • Changes in government taxes

  • Changes in national park fees

  • Changes in conservation, reserve or concession fees

  • Changes in accommodation prices

  • Changes in other supplier charges

  • Currency exchange rate fluctuations

Ness Dream Safari reserves the right to correct errors in advertised prices before a booking is confirmed. Where an error is identified, the client will be informed of the correct price before the booking is confirmed.

Once the trip has been fully confirmed, any applicable price changes will be communicated to the client in advance where possible.

8. Amendments By You

If you wish to change your itinerary after making a deposit, please inform Ness Dream Safari in writing.

We will make reasonable efforts to accommodate your requested changes, subject to availability and the conditions of our suppliers.

Changes may result in additional costs, including accommodation, transport, airline, permit or activity charges.

Any applicable amendment fees will be communicated to you before the changes are confirmed.

9. Cancellation By Ness Dream Safari

Ness Dream Safari reserves the right to cancel a trip before departure where circumstances make it necessary or where the client fails to meet the agreed payment or booking requirements.

We will make reasonable efforts to provide suitable alternatives where possible.

We cannot be held responsible for failure or delay in providing services caused by circumstances beyond our reasonable control, including force majeure.

Force majeure may include events such as:

  • War or threat of war

  • Civil unrest or disorder

  • Natural disasters

  • Fire or flooding

  • Epidemics or pandemics

  • Government restrictions

  • Industrial disputes

  • Technical problems with transportation

  • Airline cancellations or major schedule changes

  • Closure or congestion of airports, roads or ports

  • Severe weather conditions

  • Other events beyond our reasonable control

Where such circumstances occur, Ness Dream Safari will communicate with the client and make reasonable efforts to assist with alternative arrangements where possible.

Refunds, where applicable, will depend on amounts recovered from suppliers and the specific circumstances of the cancellation.

10. Amendments By Ness Dream Safari

Although we make every effort to operate trips according to the confirmed itinerary, circumstances may occasionally require changes.

Minor changes may be made where necessary and will be communicated to the client as soon as reasonably possible.

Examples may include changes to accommodation of a similar standard, changes to the order of activities, or adjustments to the route due to road, weather, park or operational conditions.

Where a major change significantly affects the holiday, Ness Dream Safari will discuss the available alternatives with the client.

No compensation will be payable where changes are caused by circumstances beyond our reasonable control or where the change is necessary for safety or operational reasons.

Ness Dream Safari will make reasonable efforts to provide services of a similar standard where a change is necessary.

11. Carriers

Travel by air, road, sea or other third-party transportation is subject to the Terms and Conditions of the relevant carrier or service provider.

Ness Dream Safari is not responsible for delays, cancellations, strikes, timetable changes, diversions, technical problems, lost or delayed luggage, missed connections or other operational decisions made by third-party carriers.

Where such problems occur, we will make reasonable efforts to assist the client with alternative arrangements where possible.

12. Your Responsibility

Clients are responsible for ensuring that all travel documents required for their journey are valid and available.

This includes:

  • A valid passport

  • Appropriate visas or permits

  • Required vaccination or health documentation

  • Travel insurance

  • Flight tickets and other required travel documents

Travelers should check current entry and health requirements before travelling. Tanzania’s official immigration information states that foreign visitors should have valid travel documents and comply with applicable visa requirements.

Clients are responsible for arriving on time for flights, transfers, scheduled activities and other confirmed services.

No refund or credit may be provided for services that are voluntarily missed by the client.

Clients are also expected to respect the laws, regulations, customs, wildlife rules and environmental guidelines of Tanzania and any other destination visited during their trip.

13. Insurance

Travel insurance is strongly recommended for all travelers and may be required for certain activities.

Clients should obtain suitable insurance covering their personal requirements, including where appropriate:

  • Medical expenses

  • Emergency evacuation

  • Trip cancellation

  • Trip interruption

  • Lost or delayed baggage

  • Personal belongings

  • Repatriation

For Kilimanjaro climbs and other physically demanding activities, clients should ensure that their insurance specifically covers the planned activity and any relevant medical evacuation requirements.

14. The Law

These Terms and Conditions, together with your quotation, booking confirmation and other relevant correspondence, form part of the agreement between you and Ness Dream Safari.

Unless otherwise required by applicable law, this agreement shall be governed by the laws of the United Republic of Tanzania, and disputes shall be handled under the applicable jurisdiction of Tanzania.

15. Waiver Of Claim Against Introducer

If you were referred to Ness Dream Safari by another person, travel agent, website, organization or other third party, any complaint relating to the services provided by Ness Dream Safari should be directed to us.

The introducer is not responsible for the performance of services provided by Ness Dream Safari unless otherwise agreed in writing.

16. Problems During Your Trip

If you experience a problem during your holiday, please inform your safari guide, hotel or lodge manager, activity provider or relevant local representative as soon as possible.

Giving us an opportunity to address the problem during your trip allows us to investigate and, where reasonably possible, correct the situation.

If the problem cannot be resolved locally, please contact the Ness Dream Safari office as soon as possible.

17. Baggage

All baggage and personal belongings remain the responsibility of the client throughout the trip.

Ness Dream Safari cannot accept responsibility for loss or damage to personal belongings except where such responsibility cannot legally be excluded.

For safari and some bush-flight arrangements, luggage restrictions may apply.

Clients are advised to use soft-sided bags or duffel bags rather than hard suitcases, particularly when travelling in safari vehicles or using small aircraft.

Where a specific airline or activity provider has a baggage limit, clients must comply with that provider’s requirements.

18. Risk

Safari, trekking, hiking, mountain climbing and other outdoor activities involve inherent risks.

Clients participate in these activities at their own responsibility and should consider their personal fitness and suitability before booking.

Ness Dream Safari, its guides, drivers, staff and service providers will take reasonable steps to provide services safely and professionally.

Clients are expected to follow safety instructions given by guides, drivers, park authorities and activity leaders.

Where appropriate, clients should seek medical advice before participating in physically demanding activities.

Nothing in these Terms and Conditions is intended to exclude liability that cannot legally be excluded under applicable law.

19. Authority On Tour

The decisions and instructions of the Ness Dream Safari guide or driver-guide during the tour are final where they relate to safety, wildlife protection, road conditions, weather, park regulations and the practical operation of the itinerary.

Clients must follow reasonable instructions from guides and comply with the laws, customs and regulations of the countries and destinations visited.

20. Marketing And Photography

Ness Dream Safari may request permission from clients to use photographs or videos taken during tours for promotional, website or social media purposes.

Where a client does not wish to appear in promotional material, they should inform Ness Dream Safari.

Clients’ personal information will be handled with reasonable care and in accordance with applicable privacy requirements.

21. Price Changes

Our prices are based on current park fees, taxes, accommodation rates, transportation costs and other supplier charges available at the time of quotation.

Government authorities, national parks, conservation areas, airlines and other suppliers may change their fees and taxes.

Where such changes occur before the trip is fully paid, any applicable increase may be passed on to the client.

We will communicate significant changes to the client where reasonably possible.

22. Access And Road Conditions

Ness Dream Safari cannot guarantee road, trail, airstrip or other access conditions.

Safari routes and mountain roads can be affected by:

  • Heavy rainfall

  • Flooding

  • Road construction

  • Poor road conditions

  • Wildlife movements

  • Park regulations

  • Weather conditions

  • Airstrip conditions

  • Other circumstances beyond our control

Where necessary, the itinerary may be adjusted to maintain safety and provide the best possible travel experience.

Any additional costs resulting from client-requested changes will be communicated before such changes are confirmed where possible.

23. Force Majeure

“Force Majeure” means circumstances beyond the reasonable control of Ness Dream Safari that prevent or significantly affect the performance of our services.

Such circumstances may include natural disasters, severe weather, fire, accidents, war, civil unrest, government intervention, epidemics or pandemics, transportation disruptions, road closures, or other unforeseen events.

If force majeure affects your trip, Ness Dream Safari will inform you as soon as reasonably possible and will make reasonable efforts to find suitable alternative arrangements.

Where services cannot be provided because of force majeure, any refund will depend on the amounts recoverable from suppliers and the actual costs incurred.

24. Disputes And Complaints

If you have a complaint during your trip, you should report it immediately to your guide, accommodation provider or the Ness Dream Safari management team.

We encourage clients to give us the opportunity to resolve complaints while the trip is still in progress.

Any complaint that remains unresolved should be submitted to Ness Dream Safari in writing after the trip, providing sufficient details for us to investigate the matter.

25. Consent

Payment of the deposit or any other payment toward a reservation constitutes confirmation that the client has read, understood and accepted these Terms and Conditions.

Any changes to these Terms and Conditions must be agreed in writing by an authorized representative of Ness Dream Safari.

26. Website Promotions

Any special offers, promotions or discounted packages advertised by Ness Dream Safari are subject to availability and the specific conditions stated with the promotion.

Unless otherwise stated, promotional offers cannot be combined with other discounts or promotions.

Bookings should be made directly through Ness Dream Safari using the contact details provided on our official website or quotation.

If this is your first safari in Tanzania, the following packing list can help you prepare for your adventure.

Safari clothing should be comfortable and practical. Neutral colours such as khaki, beige, brown and green are generally suitable for safari. Dressing in layers is recommended because temperatures can change between morning, afternoon and evening.

Tanzania Safari Tipping Guidelines

Tipping is a personal way of showing appreciation for good service during your Tanzania safari. It is not compulsory, and the amount is entirely at the client’s discretion.

Safari guides, drivers, cooks, hotel staff and other service providers work together to make your trip enjoyable and comfortable.

Who To Tip And When On A Tanzania Safari

Safari Guides

Your safari guide plays an important role in your experience by providing information about wildlife, nature, culture and the different destinations you visit.

If you are happy with the service provided, you may choose to tip your guide at the end of the safari.

Safari Cooks And Support Staff

On camping safaris, cooks and other support staff work behind the scenes to prepare meals and maintain the campsite.

You may also choose to show your appreciation to them through a tip.

Dos And Don’ts Of Tanzania Safari Tipping

  • Do tip when you are satisfied with the service.

  • Do consider tipping at the end of the safari.

  • Do ask your guide if you are unsure about the usual tipping practice.

  • Don’t feel pressured to give a tip that you cannot afford.

  • Don’t feel that tipping is compulsory.

  • Don’t give money to someone simply because they demand it.

How To Tip

Many lodges and hotels have a general tip box where guests can leave tips for staff.

For guides, drivers and cooks, a direct tip at the end of the safari is also common.

US Dollars and Tanzanian Shillings are both practical currencies for tipping.

How Much Should You Tip?

There is no fixed amount that every traveler must pay. Tipping should reflect the quality of service, length of the safari and your personal budget.

As a general guideline, travelers may consider:

  • US$15–20 per guest per day for a private safari guide

  • US$5–10 per guest per day for a safari chef

  • US$8–10 per guest per day for a group guide

  • US$1–2 per guest per day for general support staff

  • US$3–5 per city transfer, depending on the service

These are guidelines only and are not compulsory.

What If I Don’t Want To Tip?

Tipping is completely voluntary.

If you are not satisfied with the service, you are not required to provide a tip. If you are happy with the service, a tip is a generous way of showing your appreciation.

Accommodation

For accommodated safaris, Ness Dream Safari works with a range of accommodation options, from comfortable mid-range lodges and tented camps to higher-end and luxury properties, depending on the package selected.

Accommodation normally includes private or shared en-suite facilities according to the category booked.

For camping safaris, accommodation may be provided in public campsites or other designated camps, depending on the itinerary.

For mountain climbing trips, accommodation may include mountain huts or campsites depending on the route.

Spending Money And Tipping

Clients are advised to bring enough spending money for souvenirs, tips, drinks, additional activities and other personal expenses.

US Dollars and Tanzanian Shillings are commonly useful during travel in Tanzania.

Tipping is voluntary, and the amount is entirely at the guest’s discretion.

For Kilimanjaro climbs, clients may wish to budget separately for tips for guides, porters and cooks. The amount depends on the duration of the climb, group size, crew size and quality of service.

Meals

Safari meals are provided according to the selected itinerary.

On camping safaris, meals are generally prepared by the safari cook using supplies and cooking equipment carried as part of the safari arrangements.

Breakfast and dinner are normally served at the accommodation or campsite, while lunch may be provided as a picnic or packed lunch during safari activities.

Clients with special dietary requirements should inform Ness Dream Safari in advance so that suitable arrangements can be made where possible.

First Aid And Medical Information

Our guides are trained to respond to basic first-aid situations.

Clients are nevertheless advised to bring any personal medication and a basic personal medical kit appropriate for their needs.

For trekking and mountain climbing, clients should seek appropriate medical advice before departure and make sure their travel insurance covers the planned activity and emergency evacuation where required.

Health and vaccination requirements can change depending on the destination and traveler’s circumstances. Travelers should consult an appropriate healthcare professional before travel and check current official requirements.

Luggage

For safari and trekking trips, clients should use soft-sided luggage, such as a duffel bag or backpack, whenever possible.

For Kilimanjaro climbs, porters carry the main luggage between camps. The applicable baggage limit should be respected, and clients may be required to arrange an additional porter if they have luggage exceeding the permitted weight.

Clients should also carry a small daypack for personal items needed during the day’s activities.

A daypack may contain:

  • Drinking water

  • Snacks

  • Camera

  • Sunscreen

  • Rain jacket

  • Warm clothing

  • Personal medication

  • Important travel documents

For mountain climbs, luggage that will not be used during the climb can normally be stored at the hotel, subject to the hotel’s storage arrangements.

Travel insurance is required for travelers participating in mountain climbing and trekking activities.

Clients should obtain insurance that covers:

  • Trip cancellation

  • Trip interruption

  • Emergency medical treatment

  • Emergency evacuation

Clients should carefully check their insurance policy because some standard travel insurance policies may exclude high-altitude trekking or mountain climbing.

Visas

The responsibility for obtaining the correct visa rests with the traveler.

Travelers should check the current Tanzania Immigration requirements before departure. Tanzania provides official online visa application services, and travelers should use official government information when checking visa requirements.

Visa requirements may differ according to nationality and the purpose of travel.

Clients should pack carefully and bring only what is necessary for the climb.

The main luggage carried by porters must remain within the applicable mountain-authority weight limit.

Soft-sided bags are recommended because they are easier to carry and store than hard suitcases.

Plastic single-use water bottles may be restricted within protected mountain areas. Clients should therefore use reusable water bottles or hydration systems according to the applicable park regulations.

Checked Luggage And Air Travel

Checked luggage can occasionally be delayed or lost during international travel.

Clients are advised to keep important items in their carry-on luggage, especially:

Any additional costs resulting from lost or delayed luggage remain the responsibility of the client unless otherwise covered by the client’s travel insurance or applicable law.

Medical Check-Up Before Kilimanjaro

Clients planning to climb Mount Kilimanjaro are strongly advised to consult a qualified healthcare professional before attempting the climb.

The climb is physically demanding and involves high altitude. Your healthcare professional can advise whether the activity is appropriate for your individual circumstances.

You should also discuss any existing medical conditions and medications that may affect your ability to trek at altitude.

If you have a medical condition that could make mountain climbing more difficult or risky, you should inform Ness Dream Safari before booking so that we can provide appropriate guidance and make suitable arrangements where possible.

What Are The Entry Requirements For Tanzania?

Travelers entering Tanzania must meet the applicable immigration and entry requirements.

Visitors should normally have:

  • A valid passport or travel document

  • The appropriate visa, where required

  • A valid return or onward ticket where required

  • Evidence of sufficient funds where required

  • Any required health or vaccination documentation

Tanzania Immigration advises travelers to check the applicable visa category and current requirements before travelling.

Some nationalities may be required to obtain a visa in advance, while others may be eligible for different entry arrangements.
